Room automation for executive and board spaces is moving from “nice to have” to a measurable operations lever. Facilities, IT and EA teams are consolidating control of displays, shades, lighting and Zoom Rooms into a single, repeatable profile per room type. This shift changes how rooms are commissioned, monitored and supported, with presets defined once and enforced across fleets. The work is moving from ad hoc in-room fixes to centrally managed states that can be audited and adjusted against meeting performance data.

Teams define a small set of standard room states, such as "pre-meeting", "in-meeting" and "presentation" for each executive room type. These states control Zoom Room behavior, display routing, audio levels, lighting and shades as one package. Room controllers and schedulers trigger these states based on calendar events or a single button, instead of multiple manual steps. Operations and IT use monitoring tools to see which state a room is in, and push corrections remotely when something drifts. Over time, they adjust presets based on recurring issues and measured start-time reliability.

This week, pick one executive conference room and create two documented presets—"Board Meeting", and "Video Briefing"—as clear buttons on the room controller.

• Inventory current executive and conference rooms and group them into 2–3 standard room types.
